Job Description (Roles and Responsibilities)
Main purpose of job:

To lead planning and delivery of senior level High Commission events and logistics for inward visits to South Africa by UK VIPs, Ministers and senior officials. To manage the High Commission’s external contacts database and support the wider work of the Communications Section.

Event Management

Lead on the planning and delivery of senior level High Commission events, particularly those hosted by the High Commissioner in South Africa, Swaziland and Lesotho. Events range from private lunches/dinners and receptions to high-profile public diplomacy events.
Develop and deliver an integrated invitation management process for events, including software, invitation templates and guest lists.
Deliver a centre of excellence across the UK mission in South Africa for events management.


Stakeholder Engagement

Custodian of the High Commission’s contact database, ensuring the database is the central portal for mission-wide stakeholder engagement and access point for guest lists.
Support the High Commissioner’s high-level engagement with senior contacts from Government, politics, business, media, academia, arts and culture and other spheres.


Visits

Deliver logistics for visits by senior UK figures, including members of the Royal family, Ministers and senior Government officials.
Work with the Department of International Relations and Co-operation on protocol arrangements for VIP visits, including liaison with State Protocol Lounges at South African airports.


Corporate

Support to the overall work of the communications team, helping deliver the communications strategy for South Africa, particularly public diplomacy objectives.
Extensive opportunities for professional development through the UK Diplomatic Academy.
Exposure to the whole of the UK Mission in South Africa and wider external networks.
Essential qualifications and experience
Events management experience in Government, business, academia, media or other high-profile organisations.

Desirable qualifications and experience

Background in handling protocol for high-level visitors to South Africa, including liaison with airports. Knowledge and skills
in use of events management software.

Employees recruited locally by the British High Commission in Pretoria are subject to the Terms and Conditions of Service according to local employment law in Pretoria.
